The timeline
Four weeks. Zero panic.
4 weeks out — decide
Set the date and time. Build the guest list. Pick a theme (or don’t — “costumes required” is a theme). Set a budget and decide food style: full dinner, heavy appetizers, or potluck.
3 weeks out — invite
Send invitations with costume guidance and an RSVP date. Plan your menu and start a shopping list. Order anything that ships: specialty decorations, costume pieces, fog machine fluid.
2 weeks out — prepare
Buy non-perishables: drinks, paper goods, candy. Test your decorations and lighting after dark. Choose 2–3 party games and print what they need. Build a playlist at least 3 hours long.
1 week out — confirm
Nudge guests who haven’t RSVP’d. Buy perishable food. Do a full decoration test run. Prep anything freezable. Charge speakers, cameras, and spare batteries.
Day before — set up
Decorate the main spaces. Set the table and serving stations. Prep cold food. Lay out your costume. Put fresh batteries in everything.
Day of — enjoy
Finish hot food. Lights low, music on, fog machine warmed up. Welcome guests, then stop working — the checklist got you here.
